This is a Remote Position. Only applicants from the West Coast will be considered, as there will be occasional in-person meetings onsite in Novato, CA. POSITION SUMMARY The Senior Grants Analyst will manage pre-award and post-award activities for a designated group of researchers. The ideal candidate will have 4+ years of experience in research administration, a thorough understanding of various funding sources, and a demonstrated ability to collaborate effectively in research environments. Strong interpersonal skills, the ability to excel in a fast-paced setting, and a service-oriented approach are essential for success in this role.
KEY RESPONSIBILITIES
Pre-Award:
- Collaborate with faculty to prepare grant proposals, ensuring alignment with all guidelines.
- Evaluate grant opportunities and guide proposal development.
- Prepare budget components in consultation with the principal investigator (PI).
- Interpret and apply financial, programmatic, regulatory, and administrative guidelines.
- Serve as primary liaison between PIs and external sponsors during proposal submission and contract negotiation.
- Update and maintain the Other Support document with the PI.
- Conduct preliminary reviews of sponsored awards/agreements for compliance.
Post-Award:
- Establish and maintain sponsored project accounts, ensuring compliance with institutional and sponsor requirements.
- Interpret sponsor policies, institute guidelines, and government regulations related to awards and project conduct.
- Monitor spending and advise PIs on account status, meeting quarterly to review finances.
- Coordinate effort/salary allocation in the accounting system (EARS).
- Advise on funding awards and monitor expenditure.
- Ensure timely submission of project reports.
- Prepare journal entries and budget adjustments.
- Review and approve grant reimbursements.
- Prepare subaward agreements.
- Manage award closeouts.
Other:
- Assist with annual A-133 audit.
- Maintain internal system.
COMPENSATION & BENEFITS
- 100% remote; San Francisco Bay Area-based only.
- 5% Travel requirement: Applicants must travel to the Novato, CA campus for on-site training sessions/business meetings.
- Competitive salary ($85,000 – $105,000/year) commensurate with experience

Education, Experience, & Certification
- Bachelor’s degree, preferred
- 4+ years demonstrated pre- and post-award experience
- CRA preferred
Specialized Skills
- Strong customer service focus with excellent verbal and written skills
- General accounting knowledge
- Familiarity with PHS grant policies and Uniform Guidance
- Experience with Cayuse, EARS, and Sylogist (MS Dynamics) preferred/not required
- Advanced experience with MS Excel; quick ability to learn new software programs
- Strong attention to detail plus prioritization and time management skills
- Ability to treat sensitive information related to salaries, department finances, and science confidentially
