Job Details:

The Human Resources Faculty Affairs Coordinator supports faculty lifecycle processes at Dell Medical School, managing hiring, onboarding, credentialing, compensation, and workload compliance. In collaboration with department leaders, HR partners, and the Office of the Provost, this role ensures faculty operations run smoothly, accurately, and in compliance with institutional and regulatory standards. This position plays a critical role in enhancing the faculty experience and supporting the operational excellence of Dell Medical School.

What You’ll Do

Faculty Administrative Support

Support the annual renewal process for faculty appointments and practice plan documentation. Maintain and update faculty governance materials and policies, oversee faculty HR website updates, manage committee records and election cycles, and provide operational support to Faculty Senate and Hiring Committees, including preparing reports and leadership presentations.

Faculty Hiring & Onboarding

Manage appointment and onboarding processes for regular and affiliate faculty, ensuring all appointment letters, credentialing requirements, and onboarding steps are completed accurately and on time. Track faculty membership, publications, achievements, and troubleshoot onboarding or compliance challenges.

Compensation & Compliance

Process faculty compensation changes such as effort reallocations and stipend adjustments. Support salary equity analysis projects and ensure compensation practices align with institutional policies and regulatory requirements.

Records Management

Maintain accurate and updated faculty records in Human Capital Management (HCM) systems and personnel files. Process faculty separations, organizational changes, and utilize data analysis to recommend process improvements in records management.

Faculty Evaluation Support

Administer the annual faculty evaluation process, tracking performance reviews and implementing necessary changes to academic titles, appointment statuses, and faculty workload allocations.

Who You Are

Required Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or a related field.
  • At least two (2) years of experience in human resources functions or administrative support processes.
  • Strong business acumen with excellent multitasking, prioritization, and organizational skills.
  • Exceptional verbal and written communication skills, with the ability to interact effectively within a diverse academic and healthcare community.
  • Advanced technical proficiency in Microsoft Word, Excel, and PowerPoint, with the ability to produce polished and professional documentation.
  • Strong analytical thinking, problem-solving capabilities, and attention to detail.
  • Ability to work independently in a fast-paced, high-volume environment while maintaining a professional demeanor and commitment to service excellence.

Preferred Qualifications

  • Experience with University of Texas at Austin policies, particularly those related to faculty appointments, reviews, and promotions.
  • Background in healthcare organizations or academic medical centers.
  • Prior experience in faculty affairs administration within higher education.
  • Proficiency in project management software such as Smartsheets.
  • Professional certification such as PHR, SHRM-CP, or a related HR credential.

Salary Range

$55,000 + depending on qualifications

Employment Eligibility:

Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
