The Texas A&M Energy Institute is thrilled to announce an exciting opportunity for an Administrative Coordinator I to join our vibrant team! We are seeking a dedicated and detail-oriented candidate with three or more years of progressively responsible support experience within the Texas A&M University System or another esteemed higher education institution.  The ideal candidate will possess strong organizational and communication skills, with the ability to manage multiple tasks efficiently. You will play a crucial role in supporting the institute by handling essential administrative duties, coordinating projects, and facilitating communication with stakeholders. What You Need To Know

Salary: $45,000 annually

Required Education and Experience

  • Bachelor’s degree or equivalent combination of education and experience.
  • Two years of experience in office administration.

Preferred Qualifications

  • At least three years of experience in an administrative or support role, preferably within a research or academic setting.
  • Three or more years of support experience in progressively responsible positions within The Texas A&M University System (A&M System) or other higher education institutions.
  • Strong time management skills.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information.
  • Ability to cultivate and maintain professional working relationships with people of various scientific backgrounds.
  • Experience in a research-related field.
  • Familiarity with academic and research environments.
  • Strong writing skills, with an ability to support proposal and scientific writing.

Knowledge, Skills, and Abilities  

  • Ability to multitask and work cooperatively with others.
  • Knowledge of word processing, spreadsheet, database, and presentation applications.
  • Interpersonal and communication skills.
  • Planning and organization skills.

Essential Duties/Tasks         

Administrative Support

  • Provide comprehensive administrative support to the institute, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, and presentations.
  • Maintain organized records and files, ensuring easy retrieval of information.
  • Assist in the preparation and submission of research project proposals and reports.
  • Review documents for the supervisor and attend meetings or committees on behalf of the supervisor.
  • Support leadership and employees through a variety of administrative and clerical tasks related to the Energy Institute.
  • Handle time-sensitive material and communicate efficiently and effectively via phone and email to ensure that all tasks are completed accurately and delivered with high quality and in a timely manner.
  • Participate in unit activities and initiatives, such as staff meetings and cross-unit development programs.
  • Ensure compliance with university and government standards, policies, and procedures.

Project Coordination

  • Coordinate project activities, including scheduling meetings, preparing agendas, and documenting minutes.
  • Track project timelines and deliverables, ensuring that deadlines are met.
  • Facilitate communication between project stakeholders, including researchers, sponsors, and university departments.
  • Assist in the development and implementation of project management tools and processes.
  • Analyze requirements for projects or initiatives and provide technical information regarding administrative procedures, services, or programs.

Financial Management

  • Assist in the preparation of the annual budget for the unit.
  • Monitor and track expenses, ensuring compliance with budgetary guidelines.
  • Prepare financial reports and analyses for the institute.
  • Support the assembly and submission of budgets for sponsored research projects.

Communication and Stakeholder Engagement

  • Support the implementation of communication strategies to promote the institute’s activities.
  • Contribute to the preparation of stories for the institute’s projects that will be promoted through the institute’s social media and website.
  • Coordinate public engagement activities, including workshops, conferences, and community meetings.
  • Organize and schedule meetings, appointments, conferences, and travel. May set up meetings, seminars, and other special events, including facilities, equipment, and food.

  • All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and University safety requirements
