<p><span style="text-decoration: underline;"><b>Job Summary</b></span></p>
<p>Under direct supervision schedules daily personalized itineraries to the admission office; schedules interviews; answers and directs calls; disseminates information to the general public and the University community; provides support to visit program event planning as needed. Maintains the daily operations of the <u><a href="https://www.slu.edu/admission/visit/index.php" target="_blank" rel="noopener noreferrer">New Student Visit Center</a></u> including overall schedule, facilities and maintenance, inventory of marketing materials, visitor packets, promotional items, and refreshments. Develops and maintains relationships with academic and student service departments. Assists in the creation, maintenance, and troubleshooting online registration for all campus visit events and visits. <p><span style="text-decoration: underline;"><b>Job Duties</b></span></p>
<ul>
<li>Schedules individual, admission, academic, and special request visits and campus tours using database management software; is responsible for data integrity and entry for over 20,000 visitors; composes written materials and corresponds with prospective students concerning campus visit programming in SLATE admission customer relationship management system (CRM).</li>
<li>Develops data reporting processes to provide administrator with relevant information in SLATE CRM.</li>
<li>Responds to Web inquiries from prospective students and their families, providing information about the University and/or status of applications; receives and directs phone calls to staff and other departments; greets visiting students and their families.</li>
<li>Develops and maintains strong relationships with academic and student service departments.</li>
<li>Schedules group campus visit program components, which includes speakers, classes, and room arrangements in SLATE CRM.</li>
<li>Daily management of facilities, housekeeping, inventory, and guest/visitor services.</li>
<li>Front desk coverage, management of daily visitor activities including campus tour guides, presentation speakers, interview, and appointment schedules in SLATE CRM.</li>
<li>
<div>Assists with coordinating the tour guide program.</div>
</li>
<li>Contributes to the overall efforts of the department via promotion of a teamwork environment and fostering creativity, especially around campus visits.</li>

<p><b><u>Remote/In-person Expectations</u></b></p>
<p>This position will require the individual to work in the office with the potential to work a hybrid schedule, up to one day per week remotely, contingent on visit and recruitment needs, and after completion of the first 6 months of initial onsite training and familiarizing with department work and operations in compliance with the requirements of the SLU Remote Staff Flexible Work Policy.</p>

<li>Works with the KNSM business office staff to invoice programs and pay facilitators</li>
<li>Responsible for garnering funding to pay for all staff and operations of the Challengeworks programs</li>

<p><b>Accreditation and Licensing:</b></p>
<ul>
<li>Oversees adherence to Association for Challenge Course Technology (ACCT) standards for annual inspections and facilitator certifications. Performs other duties as assigned</li>

The <b>Biomedical Sciences</b> department is a major locus for basic science and translational research at the College. Departmental faculty interests range widely within a central research focus on craniofacial biology. In addition to many well-outfitted individual laboratories, the department houses a Core Laboratory for Cell and Molecular Biology. Departmental faculty provide all basic science instruction to dental and dental hygiene students and to residents in postgraduate dental specialty programs, as well as graduate degree programs (MS, PhD) in Biomedical Sciences awarded through Texas A&amp;M University.</p>

<li><b>Office Administration: </b>Serves as lead on planning and coordinating meetings, seminars, and other special events. Provides advanced administrative and coordination support to the Biomedical Sciences department. Coordinates administrative support functions. Supervises assigned staff, plans work and determines work priorities. Develops and approves schedules, priorities, and standards for achieving goals. Develops administrative objectives and strategies. Participates in the planning and execution of administrative operations. Establishes goals and objectives of administrative operations. May assist in the development of administrative operations and making adjustments to methods and procedures. Plans, implements, coordinates, analyzes, monitors, and evaluates administrative support functions. Analyzes internal processes and times lines and recommends and implements procedural or policy changes. Makes recommendations for process improvements, administrative changes, or new initiatives.</li>
<li><b>Department Operations: </b>Submits all travel arrangements and responsible for travel expense reports. Monitors budget, reviewing purchase orders and monthly expense reports. Monitors budgetary spending by verifying charges against budget and reconciling numerous accounts on a monthly basis or as needed. Works directly with purchasing agents to arrange for procurement of administrative, instructional, clinical and other equipment and supplies. Manages and tracks department funds in Canopy and FAMIS. Advises grant balances and assists with Maestro project submission. Tracks faculty absences and advises on balances. Serves as lead liaison for faculty hiring activities. Manages faculty hiring process in Interfolio. Manages travel arrangements for prospective faculty. Coordinates faculty travel logistics including conference registration, transportation, expense reimbursement, and account reconciliation. Maintains department head calendar and schedule. Recommends guidelines, policies, rules, and regulations. Monitors compliance with policies and procedures. Maintain and monitor office supplies and equipment, and place orders to maintain inventory levels.</li>
<li><b>Projects &amp; Service: </b>Performs special analyses and project summaries. Prepares and reviews operational and special reports. Attends Lead Administrator meeting as representative for department.</li>

<li><b>Program Planning, Implementation, Evaluation:</b> Assists in establishing short- and long-term goals, strategic planning, and objectives, policies, and procedures. Collaborates with others to create, plan, implement, and evaluate new and expanded programs. Identifies new funding sources and partners. Evaluates general clinic workflow for efficiency gains.</li>
<li><b>Fiscal Management/Budget Oversight:</b> Oversees daily fiscal and purchasing activities. Assists in the preparation and monitoring of budgets for programs and events. Helps the Patient Services Manager categorize expenses into the correct program (Brazos Valley Mobile Clinic versus East Texas Mobile Clinic).</li>
<li><b>Staff Supervision/Training:</b> May supervise program staff. Develops, updates, and delivers training materials. Coordinates daily, weekly, and monthly reporting and chart audits for the team. Provides direction on non-standard cases and identifies new training opportunities for Rural Health Center designated clinics. Ensures grant reporting metrics are coded into patient charts during clinic visits.</li>
<li><b>Stakeholder Relationship Management: </b>Develops and maintains relationships with stakeholders.</li>
<li>Travels to communities to market and discuss the capabilities of the Texas A&amp;M Health Mobile Clinics. Represents Texas A&amp;M Health Mobile Clinics at community events.</li>
<li><b>Reporting/Documentation: </b>Prepares reports on program activities. Responsible for daily, weekly, and monthly reporting from Electronic Health Records to ensure accurate coding of patient demographics and insurance billing records.</li>
</ul>

<li>Bachelor’s degree or equivalent combination of education and experience</li>
<li>Four years of related experience in program coordination, administration, or other related areas to include experience with Electronic Health Records (eCW or Epic preferred) and experience with the insurance billing and revenue cycle</li>

<li><b>Community Engagement and Training: </b>Complete training in the TOPS K12 opioid prevention education program and train community partners in the curriculum, engage with school and community decision-makers to promote the TOPS initiative, deliver community opioid prevention awareness campaigns, collect data for opioid prevention awareness and education programs, and prepare monthly reports to track the progress of program activities.</li>
<li><b>Stakeholder Relationship Management: </b>Conduct site visits to monitor TOPS activities and provide ongoing support, engage with high schools and key decision-makers to ensure program milestones are achieved.</li>
<li><b>Reporting and Administrative:</b> Maintain daily activity logs regarding client activity, travel destinations, and other program-related activities, perform routine reporting of all program activities to monitor progress toward achieving program milestones, oversee daily fiscal and purchasing activities.</li>

In this role, you&#8217;ll manage administrative tasks, coordinate educational campaigns, and engage with the community to create a lasting impact on the lives of Texas youth.</p>

<p><i><b>The well-qualified candidate should also have experience in public, community, or external relations, or event planning, as well a Master&#8217;s or Doctorate in Public Health (or other doctoral level degree). Certification as a </b></i><i><b>Certified Health Education Specialists (CHES) or Master Certified Health Education Specialist (MCHES) is desirable.</b></i></p>

<li><b>Community Engagement/Stakeholder Relationship Management:</b> Serve as a liaison between community and school decision-makers, coordinate engagement events to ensure program success, to include planning, implementing, and evaluating health programs. Mobilize key decision-makers for TOP project activities, facilitate services between health care providers and the community, and collaborates with Community Health Workers to plan targeted opioid prevention awareness campaigns in Texas.</li>
<li><b>Program Planning, Implementation and Evaluation:</b> Conduct community needs assessments to identify gaps in youth opioid prevention education, assist with establishing/monitoring policies and strategic planning, oversee opioid prevention awareness activities, expand knowledge of community resources and programs, support schools in accessing mental health resources/services, and attend routine project meetings and training sessions.</li>
<li><b>Fiscal Management and Budget Oversight:</b> Perform routine fiscal monitoring of allocated budget spending and report to the TOPS leadership team, coordinate purchasing needs, and assist with preparing budgets for programs and events. ​</li>
<li><b>Staff Supervision and Training: </b>Complete training in the TOPS K12 opioid prevention education program, serve as a peer leader to train community partners, develop audience-specific training materials, and may supervise program staff.</li>
<li><b>Reporting and Documenting:</b> Maintain daily activity logs, ensure transparency in reporting project activities, monitor and report TOPS deliverable milestones, and assist with data collection for opioid prevention programs.</li>

<p>Temple, TX &#8211; The Senior Coordinator, Curriculum should be proactive, with a desire to ensure that department goals and objectives are achieved along with possessing strong time management skills, including the ability to prioritize tasks in a fast-paced environment. The ideal candidate must demonstrate a high degree of flexibility in accepting work assignments with the ability to effectively prioritize tasks, understand processes, and resolve issues. This role requires strong problem-solving abilities, with a proactive approach to addressing concerns and the ability to anticipate the needs of the department to ensure effective management of priorities and deadlines.This role will require the following:   Professionalism, exceptional customer service skills, ability to work in a team environment, good oral and written communication skills, and the ability to prioritize multiple tasks.</p>

<h2>Job Duties</h2>
</div>
<div>
<ul>
<li>Provides administrative support for Undergraduate Medical Education (UME) or Graduate Medical Education (GME) course directors/program coordinators.</li>
<li>Oversees various system applications utilized in medical education, including Blackboard, MedHub, E*Value, and SuccessFactors.</li>
<li>Interacts with course/program directors to facilitate course/program objectives.</li>
<li>Performs critical tasks related to the annual review process in collaboration with course/program directors.</li>
<li>Ensures program, student, and department needs are met; resources are identified; and recommendations are implemented for improvements and enhancements.</li>
<li>Creates, implements, and maintains various system applications for all assigned courses/programs.</li>
<li>Serves as the administrator for one or more medical school subcommittees.</li>
<li>Coordinates the administrative functions of the department&#8217;s medical education courses or fellowship and/or residency programs.</li>
<li>Coordinates annual appointments, credentialing, and the onboarding/off boarding processes for existing and new faculty, residents, and fellows.</li>
<li>Performs other job-related duties as assigned.</li>

<h2>Minimum Qualifications</h2>

<li>High School diploma or GED.</li>
<li>Four years of relevant experience.</li>
